How to build an AI customer service bot
To build an AI customer service bot, classify the repeated incoming messages, draft a reply from material the company has already approved, and let a person on the team decide whether to send it. Every sentence a customer reads speaks for the company, so price, delivery dates, refunds, and complaints need a person to confirm them. The channels, the approved material, and the handoff rules belong in the scope before the build starts.

Write down the stretch the bot owns
Name the channels it reads, the approved questions it may draft, and the moment it must hand the thread to a person. If that scope is missing, the draft answers questions it should not touch.
Opening hours, shipping, and product specifications are the repeated questions that fit this stretch. Price, refunds, complaints, and contractual commitments are handoffs from the start.
Keep the draft separate from the sent reply
Sentences the model writes stay in a queue that has not been sent. After a person confirms them, they enter the conversation the customer can see. That line has to be visible on the screen, not only in an internal note.
If the system sends the draft on its own, nobody can later tell which sentence a person read. The send record should keep who confirmed it, and when.
Draft only from approved material
The draft should cite text the company has already approved, and show that source beside the sentence. If the material does not contain the answer, the draft should say the source was not found.
Do not let the model fill the gap with a nearby sentence. Once that sentence is sent, the customer will treat it as a commitment.
Hand the exception to the person on duty
The handoff should carry the channel, the earlier messages, and the draft, so the next person can see the whole thread. Passing only the last sentence makes them ask the customer to start again.
Write the handoff rules into the scope: which words, which amounts, and which kind of complaint must leave the queue. Vague rules leave the exception inside an automatic draft.
Voice uses the same review
If the scope includes voice, turn the audio into text, then use the same classification, draft, and review. A finished transcript does not mean the bot may reply on its own or make a promise.
A transcript can mis-hear an amount or a date. Sentences that carry an amount, a date, or an identity still wait until a person has checked them against the recording or the original text.
